For ice machine cleaning and sanitizing companies
Every ice machine cleaning log in one place, and no machine past its date
IceCycle Log is an ice machine cleaning log and schedule for cleaning companies that keeps every customer's machines, each one's next due date, and before and after photos of every cleaning in one place.
Works on the technician's phone in the walk-in, and prints for the inspector.

Proof of every cleaning
A record the manager can hand the health inspector
When the inspector asks when the ice machine was last sanitized, nobody should be scrolling through texts. Every finished visit becomes a printable cleaning record: each machine's brand and serial number, the tasks done, the cleaner and sanitizer used, the condition found, before and after photos, and who signed off.

A familiar story
Seven months between cleanings, and nobody skipped one
Nobody decides to skip a cleaning. The date just lives in the wrong place.
January
The bar unit at Harbor Grill is cleaned. The next date goes in the route book, on the same line as the kitchen unit's 6-month date.
April
The bar unit is due. The route book shows Harbor Grill in July, because that's when the kitchen unit is due.
July
Both machines get cleaned. The before photos stay in the technician's phone, along with a thousand others.
August
The bar manager finds pink slime in the bin, and the health inspector asks for the last cleaning record.
The fix
The bar unit carries its own 3-month interval. It shows up on the due board in March, a visit gets planned, and the photos prove it was done.
A schedule per machine
One hotel, three machines, three different cleaning months
Each machine keeps its own commercial ice machine cleaning schedule, so a customer with a bar unit, a kitchen unit and a lobby dispenser never runs on one shared reminder. Here is a year at a hotel.
The due board lists every machine overdue or due in the next 30 days across all customers, with a four-week calendar of planned visits. Flag a machine for repair on site and it shows up there too.
Your week with it
Load, check, clean, hand over. Then the interval does the remembering.
Load the route
Add customers and their ice machines with brand, model, serial number and cleaning interval, or import the spreadsheet you already keep.
Read the due board
Any morning, open the board to see every machine overdue or due in the next 30 days, filtered by technician or by restaurants, bars and hotels.
Clean and photograph
On site, the technician ticks the tasks, notes scale or slime, and adds before and after photos. The machine's next date sets itself.
Hand over the record
Text the manager a share link, print the cleaning record for the health inspector, and tape a fresh sticker on the bin.
More than one van
Logins for the office, the techs and the customer
Office and technicians
On the Crew plan, the office plans visits and assigns technicians. Technicians see every customer's access notes and machines, and log cleanings only on their own visits. Once a visit is marked done, it's locked for them.
The customer
On the Pro plan, the restaurant manager or hotel engineer gets a read-only login showing only their machines, due dates and cleaning records with photos. Customer logins are unlimited and don't use a seat.

FAQ
Cleaning intervals, brands and customer access
- How often should a commercial ice machine be cleaned?
- Most manufacturers, including Manitowoc and Hoshizaki, call for cleaning and sanitizing at least every six months, and more often for busy bars, hard water or yeast-heavy kitchens. Many cleaning companies run high-volume sites every 3 months. IceCycle Log lets you set 1, 2, 3, 4, 6 or 12 months per machine.
- Is this an ice machine cleaning log template?
- It does what the free log sheet does, and keeps doing it. Each cleaning is logged with the date, the tasks, the products used and photos, and you can print the cleaning record or the machine sticker for any visit.
- Can my customers see their own records?
- Yes. Every plan includes a share link for each finished visit. On the Pro plan, a restaurant manager or hotel engineer gets their own login to see their machines, due dates and every cleaning record with photos, and those logins don't count as users.
- What columns does the CSV import need?
- One row per machine: business_name, business_type and address for the customer, then machine_label, brand, model, serial_number, cleaning_interval_months and last_cleaned_on. Rows that share a business and address become one customer with several machines, and each machine's next due date is worked out from its last cleaning.
- What changes when the 30 days are up?
- Nothing is deleted. The due board, customers and every cleaning record still open, and exports still work. Adding visits and logging new cleanings waits until the owner chooses a plan.
- Which ice machine brands does it handle?
- Any. Manitowoc, Hoshizaki, Scotsman, Ice-O-Matic, Follett and Cornelius are in the brand list, along with an other option, and each machine also records its model, serial number, ice type, bin or dispenser, and water filter.
